When the UK was hit with the COVID-19 pandemic, restricting staff from working onsite at offices throughout the UK, by partnering with Capita Intelligent Communications (CIC), AvantiGas were
able to print and despatch their communications via our Hybrid Mail solution, at the touch-of-a-button, whilst remote working.
AvantiGas is a leading supplier delivering clean and efficient LPG and energy solutions across England, Scotland, and Wales. Offering a range of energy products and service solutions including off-grid LPG bulk gas, LPG gas bottles and aerosol propellant.
Having a high volume of rural customers, with limited access to the internet, a high proportion of their communications were sent via print and mail. However, AvantiGas were reviewing their strategy on how to increase digital communications to support the print and mail channel.
Whilst considering this move, the UK was hit with the COVID-19 pandemic resulting in governmental guidelines restricting staff from working onsite at offices throughout the UK. This impacted AvantiGas as they still needed to send correspondence to their customers.
By partnering with Capita Intelligent Communications (CIC) they were able to print and despatch their communications via our Hybrid Mail solution, at the touch-of-a-button, whilst remote working.
The solution
Prior to the COVID-19 pandemic, AvantiGas were mailing out approximately 20,000 letters per month from their various sites. With a high volume of rural customers, with limited access to the internet, a high proportion of communication had been via print and mail.
However, as rural areas were increasingly being brought online, AvantiGas had the desire to increase digital communications to support their existing communication channels.
This approach was accelerated when AvantiGas employees had to start working remotely. Without access to offices, staff had no way of printing and despatching documents previously sent. Capita Intelligent Communications (CIC) were able to offer a hybrid mail solution, which would allow their staff to continue sending the customer documents remotely.
CIC was challenged to implement this solution to eight teams with a total of 150 users, who were now working from home, within a one month period. Through our partnership approach, we were able to understand AvantiGas’ requirements and develop a solution that could be implemented quickly, efficiently and sustainably.
AvantiGas employees can now print individual letters from a predetermined set of branded templates, customisable with specific customer information.
These are then uploaded to an approval portal which ensures the users print request has been authorised by their manager. Once approved, the documents are securely transferred to Capita, where they are consolidated into optimised batches for print production and postal discounts.
Management information reports provide full visibility of what has been sent out, to what customers and by whom. This ensures consistency across all users whilst maximising significant costs savings.
